Authentication of Foreign Documents

The University of Alabama initiates the authentication process for diplomas and transcripts based upon written request of the graduate.  The request must include graduates full name, student number, degree earned and date of graduation.

Documents for countries that are party to the Hague Convention Number 12 receive apostilles. Documents for all other countries receive certifications.  The official list of Hague countries can be found at the following web site: www.hcch.net/index_en.php?act=states.listing. Check each country's "entry into force" date.  The graduate should visit the Secretary of State website at sos.alabama.gov/AdminServices/Authentications.aspx to complete the form necessary for certification. The form, appropriate fees made payable by check or money order to the Secretary of State and/or the Office of Probate Judge, and the appropriate mailing documents along with the written request for authentication should be mailed to The Office of The University Registrar, Box 870134, Tuscaloosa, AL 35487.  The fee associated with the Secretary of State certification is stated on the web site form.

  • The University of Alabama must receive the following information to complete this request. 
  •  Written request for document authentication from the graduate to include graduate full name, degree earned, date of graduation, country in which the documents will be used, and whether or not that country is party to the Hague Convention Number 12.  Please also include your personal contact information in the event that we need to get in touch with you.

Payment and Documents Needed for Apostille or Certification of Diploma, PDF or Transcript.

  • Apostille

$40.00 for each hard copy duplicate diploma, xerox copy of original diploma sent to us from recipient, or actual original diploma OR $25.00 for each PDF version of the diploma requested.  The personal check/cashier’s check/money order is made payable to The University of Alabama.

$5.00 personal check/cashier’s check/money order payable to Secretary of State along with the completed form.

Two Self Addressed, Stamped (postage paid) Federal Express, Express Mail, or UPS mail envelopes must be included.  These envelopes should be no smaller than 9x11 inches. The first should be addressed to the Secretary of State using the address found on the form. The second should be addressed to the final recipient of the certified documents.

  • Certification (Non-Hague Countries)

$40.00 for each hard copy duplicate diploma, xerox copy of original diploma sent to us from recipient, or actual original diploma OR $25.00 for each PDF version of the diploma requested.  The personal check/cashier’s check/money order is made payable to The University of Alabama.

$5.00 personal check/cashier’s check/money order payable to Secretary of State along with the completed form.

$3.00 per document for county document registration. The personal check/cashier’s check/money order is made payable to the Office of the Probate Judge.  Please be sure phone number is listed on your method of payment.

  • Transcript

$10.00 for each transcript requested, in addition to the above listed charges.  The personal check/cashier’s check/money order is made payable to The University of Alabama.

Once we receive your request, we will initiate the authentication process.  Requests for PDFs will be forwarded to the Secretary of State within 3 business days.

 If you request a duplicate hard copy of your diploma please allow 2-3 weeks for processing unless expedited services are requested for an additional cost of $35.00.
